Camp Cancellation Policies

-The $50 per person camp deposit is NON-Refundable.

-If cancellations are received in our office on or before three weeks prior to the start date of camp, you will receive a full refund (minus the deposit).

-If cancellations are received after the three weeks, only a 50% refund can be issued.


-CONTACT YOUR STATE DIRECTOR OR DANCEUDA@VARSITYSPIRIT.COM IF THE NUMBER OF PEOPLE THAT YOU PLAN TO BRING TO CAMP INCREASES OR DECREASES. 


Resort Camp Cancellations

  • All cancellations or changes must be submitted in writing by fax or email to the Memphis office.
  • Squads wishing to change to a resident camp, another resort camp/session or private camp within five weeks of camp will be responsible for any hotel fees (due to guarantees) as well as the full camp cost of the new session.
  • If deposit of balance of payment are guaranteed by school purchase order, and cancellation occurs, you are still responsible for all applicable cancellation fees based on the cancellation date.
  • For changes made within three weeks of camp that result in a room cancellation (using less rooms) fees will be accessed on based on hotel fees.
  • If you are paid in full and cancel more than five weeks prior to camp, you will receive a full refund (minus the deposit).
  • If you cancel between three to five weeks prior to the beginning of camp, you will be charged an additional $100 per person because of hotel guarantees.
  • If you cancel within three weeks prior to the beginning of camp, you will be charged the entire camp fee.
  • Refunds must be requested in writing by October 1, 2008 by fax or email. Please allow at least 21 working days (after the camp is complete) to receive your refund

    Medical Forms and Insurance

    Medical Release Forms are sent to the contact person of each squad to distribute to each participant's parent. Everyone attending camp must have a completed medical form. This includes all advisors and coaches. Participants 18 and under must have their parents' signature on the completed forms. These forms must be turned in at registration on the first day of camp. (If you are attending a home camp, please send the originals in with your balance of payment, and take a copy with you to camp.) By signing the release form, you are also agreeing to adhere to all camp rules. (Do not mail these to the UCA/UDA office unless you are attending a home camp.)
